Personal Assistant
Keypak is seeking a professional, highly organised, and driven Personal Assistant, for a fast-paced printing and packaging manufacturing environment.
The successful candidate must be able to work independently, handle confidential information with discretion, and effectively manage multiple tasks and deadlines.
Key Responsibilities:
Arrange travel bookings including flights, accommodation, and vehicle rental for staff, suppliers and customers
Manage diaries, appointments, meetings, and conferences
Follow up on critical tasks across departments on behalf of management.
Handle confidential and sensitive information professionally
Compile monthly invoiced sales reports
Administer monthly sales representative commission calculations
Manage incoming emails and correspondence on behalf of the Director
Reporting, data capturing, and administration on KMS
Take meeting minutes and dictation
Administer purchase orders and related documentation
Prepare presentation and reports
Liaise with clients, suppliers and staff
Source and manage stationery and office equipment
Assist with stock takes
Assist with sourcing and purchasing of raw materials, machinery, and parts
Assist with import and export administration of stock, machinery, and materials
Assist the sales department with quote requests, ESR’s, samples, quotation, order processing, and WT signoffs
Independently plan, budget, and coordinate annual staff events
Conduct general research and information gathering for management
Minimum requirements:
Previous experience as a PA / Senior Administrator
Excellent organisational and multi-tasking abilities
Strong communication and interpersonal skills
High level of professionalism and confidentiality
Strong administrative and reporting skills
Computer literate with good knowledge of Microsoft Office
Ability to work under pressure and meet deadlines
Strong attention to detail and accuracy
Qualifications:
Grade 12 / Matric
Relevant qualification in the Office Administration, Business Administration, Management Assistance, or related field will be advantageous
Advantageous:
Experience in manufacturing or printing and packaging environment
Experience with imports, exports, procurement, and sales administration
Knowledge of KMS systems
Other Requirements:
Own reliable transport
Willingness to work extended hours when required
